Registration Information

GLRPELS Registration closes at 5 pm on March 12, 2025
  • No registrations will be accepted after 5 pm on March 12, 2025. Exceptions may be made to the policy, but only upon approval of the registrant’s DGE and the GLRPETS Registrar. Registrations accepted after March 12, 2025 will be charged $375
  • PEs registering after the early registration period will be responsible for the added registration fees.
 
GLRPELS Registration Fee covers:
  • All Meals
  • Plenary Sessions with dynamic Keynote Speakers
  • PETS Forum Sessions – Membership, Public Image, and The Rotary Foundation
  • Pre-seminar Elective Sessions
  • Parking in the Radisson Garage
  • Overhead costs of the meeting rooms, audio/visual technology, Keynote Speakers, and expenses for the training sessions.
 
GLRPELS Registration Fee does not cover:
  • Hotel accommodations
  • Parking at locations other than the Radisson Garage
  • Valet Parking
  • Meals not on the schedule
  • Travel expenses involved with attending PETS.
 
Hotel Registration
  • When you register for GLRPELS you can also request a hotel room, indicate the nights you will be staying, and what kind of room you need.
  • Your hotel reservation will be handled by the PELS registrar.
    • Discounted room rates only apply to reservations made through GLRPELS.
    • The Radisson, Hilton Garden Inn, and Home2Suites will not accept individual reservations from GLRPELS attendees.
    • The hotels will NOT be able to help with registration questions.
  • All room assignments are made on a space-available basis, so reserve your room early.

​Check-In/Check-Out
  • Check-in time is after 4:00 p.m.
  • Check-out time is prior to 12:00 noon
  • A credit card and valid ID is required at check in. 

Guestrooms and Suites 
GLRPELS attendees agree that the use of the Hotel’s guestrooms and suites are for overnight stay, and are not intended for large party gatherings, unless otherwise agreed to in advance by the Hotel and the GLRPELS Executive Committee.

PARKING DURING GLRPELS

Parking in the Radisson Garage is included in your conference registration. Parking in the Hilton Garden and Home2Suites garage is limited. The fee to park in the Hilton Garden and Home2Suites garage is NOT covered by GLRPELS and is charged at a rate of $20 per day to the registrant. We recommend you park in short-term parking to check into the Hilton Garden or Home2Suites and drop off your luggage. Then drive down to the Radisson and park in the Radisson Garage to pick up your conference credentials. There is no charge to park in the Radisson Garage and you can park there for the duration of GLRPELS. There will be a shuttle between the hotels.​ 

REFUND AND CANCELLATION POLICY

 Hotel Room Cancelation
  • Under our hotel contracts with the Radisson, Hilton Garden Inn, and Home2Suites a room guarantee must be given no later than noon on March 13, 2025 
    • Rooms canceled before 5 pm on March 12, 2025, are refundable less a $50 cancellation fee. 
    • No refund will be issued for rooms canceled after that date/time.
 
GLRPELS Registration Cancellations
  • President-elect registrations are billed to the Districts and are not refundable. 
  • PEs registering after the early registration period will be responsible for the added registration fees.
  • ​PE registrations cancelled before January 31, 2025 will be charged a $25 cancellation fee.
    • PE registrations canceled between February 1 -28, 2025 will be charged a $50 cancellation fee.
    • PE registrations canceled between March 1 - 12, 2025 will be charged a $75 cancellation fee.
  • For all other GLRPELS participants, registrations cancelled before January 31, 2025 are refundable less a $25 cancellation fee.
    • Registrations canceled between February 1 -28, 2025 are refundable less a $50 cancellation fee. 
    • Registrations canceled between March 1 - 12, 2025 are refundable less a $75 cancellation fee. 
  • Another person may be substituted at any time subject to a $50 administrative fee.
  • Exceptions may be made to the policy in the event of sudden medical issues or other unforeseen and unavoidable circumstances, but only upon approval of the registrant’s DGE and the GLRPELS Registrar.
    • The decision of the GLRPELS Registrar to refund registration fees will be made within one week of its receipt.
 
Event Cancellation
  • In the unlikely event that this event is canceled due to unforeseen circumstances, GLRPELS will work with the Radisson to negotiate refunds subject to established cancellation fees. GLRPELS will refund registration fees (less cancellation fees) but cannot be held responsible for any other expenses, including, cancellation/change charges assessed by airlines, travel agencies, or other organizations.
  • In the unlikely event that this event is postponed due to unforeseen circumstances, GLRPELS will apply registration fees to the new dates. GLRPELS cannot be held responsible for any other expenses, including, cancellation/change charges assessed by airlines, travel agencies, or other organizations.

Attending an Alternate PELS

  • Presidents-elect who cannot attend GLRPELS should contact their DGE to make arrangements to attend an alternate PELS.
  • Upon approval by the DGE and confirmation of attendance, $200 of the PEs registration fee will be refunded to the district.
